Terms of Use

These terms govern your use of The Gartcosh Links Centre website and your booking of the hall. By making a booking, you agree to these terms.

Making a Booking

All bookings must be made through our online system or by arrangement with the Gartcosh Development Trust. A booking is not confirmed until you receive written confirmation and, where applicable, payment has been received.

You must be at least 18 years old to make a booking. Bookings for events involving children must be made by a responsible adult who will be present throughout.

We reserve the right to refuse any booking without giving a reason.

Payment

Payment is required in full at the time of booking unless otherwise agreed in writing. Hourly rates are as displayed on the Pricing page and are subject to change with reasonable notice.

All prices include VAT where applicable. For regular or block bookings, we may offer discounted rates by separate agreement.

For unpaid bookings, we reserve the right to cancel your reservation and make the slot available to others.

Cancellation & Refunds

We understand plans change. Our cancellation policy is:

  • More than 14 days before Full refund, minus any non-refundable payment processing fees.
  • 7 to 14 days before 50% refund.
  • Less than 7 days before No refund, except in exceptional circumstances at our discretion.

To cancel, please contact us as soon as possible. Refunds will be processed within 14 working days.

If we need to cancel your booking (e.g. due to building maintenance or an emergency), we will offer you a full refund or an alternative date, whichever you prefer.

Use of the Premises

You are responsible for ensuring your event is safe, lawful, and does not cause nuisance or disturbance to neighbouring properties.

  • No alcohol sales without a Temporary Event Notice (obtained and shared with us in advance).
  • No amplified sound or live music after 22:00.
  • No candles, fireworks, or open flames indoors.
  • No smoking or vaping anywhere inside the building.
  • No sub-letting or transferring your booking to a third party.
  • No political campaigning or unapproved commercial activities.

The hall must be left in a clean and tidy condition. Rubbish must be removed or disposed of in the provided bins. We reserve the right to charge a cleaning fee if the hall is not left in an acceptable state.

Supervision & Attendance

You must not exceed the maximum capacity of the room you have booked. For fire safety reasons, this is strictly enforced.

If your event involves children or vulnerable adults, you are responsible for ensuring appropriate safeguarding measures are in place, including DBS-checked supervisors where required by law.

A representative of the Gartcosh Development Trust may attend your event to ensure compliance with these terms and to monitor the condition of the premises.

Liability & Insurance

You are responsible for your own property and that of your guests. The Gartcosh Development Trust accepts no liability for loss or damage to personal belongings brought onto the premises.

You are liable for any damage caused to the premises, fixtures, fittings, or equipment during your hire period, whether by you, your guests, or your contractors. You must report any damage immediately.

For large events, commercial activities, or events with significant risk, we may require you to provide evidence of public liability insurance covering the event.

We maintain public liability insurance for the premises, but this does not cover your activities or your guests.

Security Deposit

For certain events (e.g. private parties, large functions, events with catering), we may require a refundable security deposit. This will be agreed with you at the time of booking.

The deposit will be refunded within 7 working days of the event, provided the hall is left in a satisfactory condition and no damage has occurred. We will deduct the cost of any repairs or cleaning from the deposit where necessary.

Access & Keys

You will be given access to the hall at the start of your booked time. Please arrive promptly and be ready to leave at the end of your booked period so the next hirer or our cleaning team can access the space.

If you are issued with keys or access codes, you are responsible for their safekeeping. Lost keys may incur a replacement charge. Keys must be returned at the end of the hire period.

Parking

Parking is available at the Links Centre on a first-come, first-served basis. Spaces are limited. Please encourage your guests to car-share or use public transport where possible.

Vehicles are parked at the owner's risk. The Gartcosh Development Trust accepts no liability for vehicles or their contents.

Termination of Hire

We may terminate your hire immediately (without refund) if you:

  • Breach any of these terms.
  • Engage in unlawful, dangerous, or anti-social behaviour.
  • Cause significant damage to the premises.
  • Exceed the room capacity.
  • Fail to pay when required.

In such circumstances, you and your guests may be asked to leave the premises immediately.

Data Protection

We collect and process your personal information in accordance with our Privacy Policy. By making a booking, you consent to us collecting and processing your data as described there.

If you are collecting personal information from your guests (e.g. for event registration), you are responsible for complying with data protection law in relation to that data.

Changes to These Terms

We may update these terms from time to time. Changes will be posted on this page with an updated date. Bookings made before a change will be governed by the terms in force at the time of booking.
